Your email address says a lot about you and your organisation. If you are having a web site built you are also registering a domain. Your email address should share the same domain as your site. If it does not it makes your company or organisation look “small-time” and disorganised.

Free email services like Yahoo or Hotmail are fine for personal use but for a business they give an aura of “fly-by-night” or inconsiquentiality. The same is true, but to a slighly lesser extent, when your email address is simply provided by your ISP under their domain (e.g. yourname132@openworld.com).

Another problem with “free” or complimentary email accounts is that they can have low limits in terms of the number of messages or total size of data that they can hold. If your account has “filled up” new messages may get sent back to the senders (or worse just disappear into the ether) which could mean you miss important messages and both you and the other parties will lose confidence in email as a reliable means of communication.

When you have a paid for email account (or accounts) with your domain you can have larger storage capacities, spam filtering, virus scanning, auto-replies and address forwarding. When you rely on email, you should be able to rely on it working properly and it should look professional.

The way you use email can also say a lot about your level of experience with using email. It is an environment with its own social norms but one should not forget that normal politeness and common curtsey also apply because the email is still going to another human. This is true for other forms of internet communication as well and is generally called “netiquette”.
